Product Lookup

This standard governs how staff find and ring items at the point of sale. It applies to cashiers, who search for and add items, and to managers, who correct missing prices and catalog flags. The register searches the same catalog the business operates from; it shows only items flagged for register sale, priced from the retail price list. The item type determines what happens when the sale completes, so the cashier shall confirm the type before tendering.

The three item types

  • Product: a physical good. Its price comes from the retail price list, and completing the sale reduces inventory.
  • Service: a groom, bath, or add-on, shown with an SVC- code. Its price comes from the service catalog's default price. Completing the sale reduces no inventory.
  • Subscription: a plan, such as a Bath Club tier or the Shipping Club. Completing the sale creates a subscription record for the customer; it is an enrollment in recurring billing, not a one-time sale. The cashier shall tell the customer, before tendering, that the purchase starts a recurring membership, and the customer shall be attached to the sale as described in Cart.

Search by name

  1. Type what the customer asks for, even approximately. Search covers names, brands, and descriptions together.
  2. When several matches appear, read the full product name and variant detail before selecting. Similar names across brands are the most common source of price complaints at pickup.
  3. Confirm the price shown is the retail list price and is usable before adding the item.

Search by SKU

Use SKU search when the customer has a receipt, a website order, or a shelf label. One SKU identifies one product at one price and removes ambiguity between similar names. If a SKU search returns nothing, check for mistyped characters first: 0 for O and 1 for I are the usual errors. If it still returns nothing, the item is likely inactive or not flagged for register sale; discontinued items remain in the records but cannot be sold. A manager shall confirm the item's status.

Barcode scanner

The scanner reads the barcode recorded for the SKU and behaves as a SKU search. If the scanner beeps and no product appears, the barcode was likely never loaded onto the SKU record. The cashier shall fall back to name search, add the item, and report the missing barcode to a manager. If the scanner double-adds: one beep, two lines: the cashier shall check the cart quantity after every scan during a rush.

Category tabs

The tabs present the live category structure: Dog, Cat, Fish, Bird, Reptile, and Small Animal, plus Services and Subscriptions sections. Tabs are for browsing when a customer wants to compare, not for finding a known item. Because the tabs follow the live category structure, a reorganized category appears reorganized at the register; when a customer states a product was previously under a different category, search by name.

Stock figures

The stock figure beside a product is the main warehouse on-hand quantity. It is information, not a block: a sale that exceeds available stock still completes, and the system flags the shortfall for the daily report. A cashier who sells past the figure shown shall tell the customer honestly about fulfillment timing rather than promising stock the shelf does not hold.

Controls

  • An item showing $0.00 shall not be sold. For a product, $0.00 means the retail price list has no price for it; for a service, it means the service catalog has no default price. The cashier shall stop, park the sale, and have a manager correct the price before tendering. Completing the sale would write a zero-dollar line into the books.
  • An item visible on the website but not at the register is not flagged for register sale, or is inactive. Only a manager may change the flag; the cashier shall not work around it.
  • If a subscription was rung as a one-time product, the cashier shall void the line before payment and re-add the subscription item. After payment, the correction is a refund and a new sale, handled under Post-Transaction.

Records

Each item added creates a sale line carrying its description, quantity, and unit price, as described in Cart. Sales past available stock create a stock alert for the daily report. Missing prices and missing barcodes reported to a manager are corrected in the catalog, not at the register.

Escalation and review

Managers review zero-price items, missing barcodes, and stock alerts, and correct the catalog entry that caused them. A lookup or catalog fault that the store cannot resolve shall be reported to support@aapawz.com. Legal process concerning a sale record shall be directed to legal@aapawz.com.
