This standard governs use of the register keypad: entering quantities, overriding a price, obtaining a manager override, and opening the drawer without a sale. It applies to cashiers, who enter quantities and request overrides, and to managers, who authorize overrides with their own register PIN. Every keypad change to a quantity or a price is recorded on the sale line permanently, so each change shall be made deliberately and for a stated reason.
Entering quantity
After selecting a product, the cashier enters the number on the keypad and confirms; the line's quantity updates and its totals are recomputed from the unit price. The keypad always acts on the currently highlighted line, so the cashier shall look at the highlight before typing. If the quantity is entered and the line total does not change, the entry was confirmed with no product selected.
For weighed goods, the keypad takes the weight from the scale where one is configured. Where no scale is configured, the cashier shall enter the quantity the scale shows and double-check the unit; pounds and ounces shall not be confused.
Price override
A price override changes the unit price on a line. The register records the new price permanently on the line record; the original catalog price remains recoverable from the item record. Overrides exist for real situations only: a shelf tag that disagrees with the system, a manager-approved price match, or a damaged package sold at a markdown.
- Confirm the catalog price is actually wrong or the exception actually applies before overriding.
- Enter the override with a reason.
- If the catalog price is wrong, report it so the catalog is corrected. Overriding at every sale leaves the next cashier facing the same wrong price.
Manager override and the PIN
Some actions require authority a cashier does not hold: large discounts, price overrides above the store threshold, voids after payment, and no-sale drawer openings. When the register asks for a manager override, the manager shall enter their own register PIN themselves. The action is recorded under the manager's name alongside the cashier's, and the register then returns to the cashier. The PIN standard is stated in Register Basics: each PIN is personal, 4 to 8 digits, and stored only in protected form, so a forgotten PIN is replaced, not recovered.
The override is an attestation that the exception is legitimate, not a formality. If no manager is on the floor, the action waits.
Clear and confirm
The clear key erases an entry before it is committed: a half-entered quantity, a wrong price, a miskeyed PIN: and changes nothing in the sale. Confirm commits the entry to the line. The cashier shall build this habit: type, read the display, then confirm. The display echoes exactly what the register understood, and a single keystroke can change 6 to 60. If a wrong entry has already been confirmed, the cashier shall correct it with the proper correction: adjust the quantity, or redo the override: rather than stacking another entry on top, so the line's history reads cleanly.
Opening the drawer without a sale
Opening the drawer without a sale: to make change, to count, or for a paid-out: is a manager action. It is recorded as a cash movement with a reason, under Register Basics. A cashier who needs the drawer open and is not a manager shall get a manager. Every drawer opening is on the record.
Controls
- No shared PINs and no borrowed credentials. A cashier shall not borrow a manager's PIN for any override, and a manager shall not give a PIN to a cashier to type. A PIN used by someone else no longer identifies the person who acted.
- A price shall never be overridden downward to make change come out even or to resolve a short drawer.
- An override authorizes the action as presented. If the cart changes materially after an override: new lines, a different tender: the cashier shall obtain the override again.
- If a manager override is rejected, the usual causes are that the account's role does not carry override authority for the action, the staff record is inactive, or the PIN was mistyped. Staff shall not try another manager's PIN until one works. Every attempt is recorded in the audit log, and shopping for credentials is itself subject to discipline.
- A cashier who overrode a price and later learns the catalog was correct shall tell a manager. The correction is a documented adjustment, not a quiet re-edit, because the original entry is already part of the sale's history.
Records
Quantity and price changes are recorded on the sale lines they affect. Manager overrides are recorded with the manager's identity alongside the cashier's. No-sale drawer openings are recorded as cash movements with a reason. These records are kept in the point of sale system and reviewed under Reporting and Quick Access.
Escalation and review
Managers review overrides, rejected override attempts, and no-sale openings as part of shift review. A keypad or override fault that the store cannot resolve shall be reported to support@aapawz.com. Legal process concerning a sale record shall be directed to legal@aapawz.com.
