Hardware Integration

This standard governs the devices where the register meets the physical sale: the card reader, barcode scanner, receipt printer, cash drawer, customer-facing display, and scale. It applies to cashiers, who check device health, perform first-line repairs, and sell around a failed device, and to managers, who replace failing hardware and report faults the store cannot fix. A device failure during a rush is a customer-service event first; staff shall keep the sale moving with the workarounds stated here and repair the device between customers.

Card reader

The reader takes tap, chip, and swipe payments and hands the register a tender recorded with its authorization code. A healthy reader shows its ready state: steady light, and "ready" on the register's reader status: before the first card of the day. Pairing is the usual failure: Bluetooth readers drop pairing and USB cables get kicked loose. Re-pairing or reseating takes under a minute and resolves the large majority of "reader not found" errors. Staff shall keep wireless units charged: they fail mid-shift with no warning but a dimming light: and keep the chip slot clean; a dirty slot misreads good cards and produces a decline that is really a read failure. While the reader is down, the store keeps selling: cash, gift card, store credit, payment link, and manager-approved manual card entry all bypass the reader, as described in Payment. Staff shall know where the backup reader is before it is needed.

Barcode scanner

The scanner turns a barcode into an item lookup: one beep, one product, at its catalog price. The two failure modes are a dead scanner (no beep, no light; check power and cable first, then swap the unit) and a live scanner that finds nothing (it beeps, but no product appears; the barcode is not on the item record: fall back to name search and report the missing barcode to a manager, as described in Product Lookup). Scanners read through plastic wrap and light smudges but not cracked housings or heavy frost; wipe and retry before declaring a barcode bad. A scanner that double-adds is reading too sensitively; the cashier shall check the cart quantity after every scan during a rush.

Receipt printer

The printer turns the completed sale into paper: header, lines, totals, tenders, authorization codes, footer, and cut. Its health is visible: paper loaded, no jam light, test print clean. Staff shall change the roll before it runs out mid-receipt. Faded printing that a new roll does not fix means the thermal head is failing, and its receipts may be unreadable by return time; flag it for replacement. A jammed printer does not stop the sale, because the transaction is already recorded: clear the jam, reload, and reprint from the sale record under Receipt. Staff shall never re-ring a sale because the receipt failed.

Cash drawer

The drawer opens for a cash sale's change, for a manager-approved no-sale opening, and for nothing else. The opening signal is electrical and travels with the receipt output, which is why the drawer opens on cash and check tenders and stays shut on card tenders. If the drawer fails to open on a cash sale, trigger the release again from the register; if it still does not open, call a manager rather than leaving cash unsecured on the counter. Every opening is recorded as a cash movement with a reason, under Register Basics. At close, counted cash reconciles against expected cash: opening float, plus cash kept from sales, minus cash refunds and paid-outs. A drawer that will not lock at close is a stay-until-it-is-fixed situation.

Customer-facing display

The second screen faces the customer: each item as added, the running total, and at tender time the amount due, with tip options where applicable. Its purpose is trust: the customer watches the sale being built and can catch a duplicated item or wrong variant before payment. If the display is dark or frozen, the sale may continue; the cashier shall read the total aloud instead, and the display shall be fixed before the next rush. Staff shall never show the customer the full register screen as a substitute; it exposes other customers' data, discount controls, and functions the customer shall not see. Customer data handling is governed by the Privacy Policy.

Scale

Where the store sells weighed goods, the scale feeds the quantity directly: the goods are placed, the weight appears, and the price is computed from the per-unit price. Staff shall zero the scale with nothing on it before weighing, and re-zero it if it drifts; a scale reading 0.02 while empty adds that amount to every weighing. If the register's weight plainly disagrees with the scale's display, the connection has dropped: re-zero and re-weigh before overriding manually. Scales are legal-for-trade devices in many places; the certification sticker shall be current. An expired certification is not a technicality; it is the difference between a lawful sale and a fine.

Controls

  • If the drawer opens on every tender including cards, the opening signal is firing incorrectly. This is a system fault; report it and do not wedge the drawer.
  • If the printer prints the sale but the drawer does not open on cash, reprinting will not fix it, because the same output is produced again. The sale is sound; the drawer needs its manual release through a manager, and the fault shall be reported.
  • If the scanner reads but the register adds the wrong product, two items share a barcode. Staff shall not correct it by deleting and re-adding, which returns the same wrong product. Ring the item by SKU search and report the collision.

Records

Device events are recorded through the records they serve: card tenders with authorization codes on payment records, scans as sale lines, receipts as receipt records, and drawer openings as cash movements. Faults reported by the store shall identify the device, the register, and the sale affected, where one exists.

Escalation and review

Managers review repeated device failures and arrange replacement hardware. A hardware or connection fault that the store cannot resolve shall be reported to support@aapawz.com. Legal process concerning a sale or a scale certification matter shall be directed to legal@aapawz.com.
