This standard governs how grooming services, packages, add-ons, and surcharges are maintained in the content management system. It is used by the Store Manager, who owns the booking catalog and pricing; by Content Editors, who maintain the public services pages; and by Front Desk staff, who quote prices and apply surcharges at booking and checkout. Its central rule is that services exist in two separate stores that do not update each other: the booking catalog, which the appointment book reads, and the public site content, which the website displays. An operator shall confirm which store a task concerns before making any change.
Roles and duties
- Store Manager: owns the booking catalog, packages, add-ons, and surcharge rules; approves every price, duration, and deposit change.
- Content Editor: maintains the public services content so that displayed names and prices match the booking catalog.
- Front Desk: applies manual surcharges, advises customers of price changes at booking and checkout, and reports mismatches between the site and the book.
The booking catalog
The booking catalog is the working list of bookable services. Each service carries a permanent code, a display name, a price, a default duration in minutes, a deposit requirement and deposit amount ($25 across the current catalog), an online-booking switch, a rebooking interval in days, and an active switch. The duration drives the appointment book: the calendar blocks exactly that many minutes, so an incorrect duration creates overruns or unfillable gaps. The rebooking interval drives customer reminders.
Operators shall observe the following rules
- The service code is permanent once created. Reports and integrations key from the code, not the display name. The display name may be renamed; the code shall not change.
- A service that has ever been booked shall never be deleted. Deactivate it. Past appointments and revenue reports continue to reference the record.
- Price and duration changes apply to future quotes immediately and never rewrite history. A past appointment keeps the price quoted at booking time.
- After creating a service, confirm it is offered at each location where it may be booked and set a location price override wherever the price legitimately differs. A service with no location record is invisible at booking time even though it exists in the catalog, and a service is selectable by customers only when online booking is switched on for it.
- When a price increase takes effect, the Store Manager shall notify Front Desk for one week, because customers reminded at the old price will see the new price at checkout.
Current examples from the catalog illustrate the scale: Bath & Brush at $95, Full Groom at $115, and Deluxe Spa at $145.
Packages and add-ons
A package is created as a catalog record in the package category. Every package shall state its name, code, price, number of included visits, and validity period in days. A package with no expiry is a liability on the books and shall not be published. The public package cards are maintained separately as public site content; the Content Editor shall keep the card and the bookable package consistent, because the site shall not advertise what the book cannot sell.
Add-ons exist in the same two forms. The bookable add-on is a catalog record flagged as an add-on and attached to a parent service, with its own duration and deposit rules, offered inside the booking flow. The public add-on price list is public site content (Nail Trim $15, Teeth Brushing $15, Flea Bath $10, De-shedding $15–$35, Paw Treatment $15). Where an add-on appears in both stores, the Store Manager shall set one price and keep both records in agreement; Front Desk staff shall not be placed in the position of deciding between two prices at checkout.
The public services content
The homepage service grid and the services page are maintained in the public content store: service categories (GROOMING, BATH & SPA, NAIL & PAW CARE, ADD-ON SERVICES), the items within each category including size pricing and member pricing, and the storefront service tiers. Each record carries a title, description, icon name, image, display order, and a visible switch. The visible switch is the public on/off control, and display order shall be set deliberately. A tier record with an empty starting price renders a blank price on the page; the Content Editor shall fill the price or hide the record.
Surcharges and pricing rules
Conditional fees are maintained as surcharge records, each with an amount or percentage, an automatic-application switch, an approval requirement, taxable and commissionable flags, an active switch, and an optional restriction to a single service. The Store Manager shall decide the application story before the amount
- Automatic application is reserved for fees that require no judgement, such as holiday fees. Judgement-based fees shall require manager approval and shall not apply automatically.
- Duplicate active surcharges for the same event are prohibited. Two active weekend surcharges ($20 and $15) are a data error: the Store Manager shall retain the correct amount and deactivate the other record. Deactivation, not deletion, is the remedy, because past bookings reference the record.
- Matting and senior or special-handling fees shall be flat amounts, shall require approval, and shall carry their criteria in plain language in the record description: for matting, dematting requiring more than 15 minutes or a shave-down; for senior handling, dogs over 12 years or any pet flagged as a bite risk in its profile. A groomer shall assess the animal before either fee is charged.
Lookup lists
The booking flow's reference lists: breeds, haircut styles, coat types, textures, lengths and conditions, shedding levels, clip lengths, style options, and service options: are maintained through the same content editor. Deactivation is the only safe edit: deactivating an entry removes it from future bookings without breaking existing records that reference it. Entries shall not be deleted or renamed for tidiness.
Controls
Every change made through the services and pricing screens is recorded in the audit log with the operator, the time, and the resulting state. The Store Manager shall review the audit log whenever a price, duration, or surcharge changes unexpectedly, before questioning staff recollection. Only the Store Manager role may approve price and surcharge changes; Content Editors may prepare public content changes but shall not alter catalog prices.
Records
This standard produces catalog records, package and add-on records, public content records, surcharge records, and the audit log entries for each change. Catalog and surcharge history is retained permanently because appointments and revenue reports reference it.
Escalation
Pricing disputes a customer raises at checkout are handled by Front Desk and the Store Manager in the store. Operational questions about this standard go to support@aapawz.com. A disagreement about what a published price promised is escalated to legal@aapawz.com.
Review cadence
The Store Manager reviews the full catalog, the public services content, and the surcharge list against each other once a month, and confirms that no duplicate surcharge and no blank public price remains.
